Terms and Conditions

1. Participation Conditions

  • The Pilot is responsible for his team
  • The teams are composed by a Pilot and his ground crew member/s
  • Vouchers for access to meals, accommodation and cultural visits mentioned in the event’s program will be distributed to each team
  • Balloons advertising brands in direct competition with the event’s sponsors will have to inform the organization for prior validation with the sponsors.
  • Team check-in will take place at Alentejo Sem Fronteiras – Clube de Balonismo, on November 5, 2023 between 2:00 pm and 5:00 pm, where they must present the following documents:
    • Valid Pilot License
    • Medical Certificate
    • Pilot’s Log
    • Aircraft Log
    • Certificate of Registration
    • Certificate of Airworthiness
    • ARC
    • Valid Insurance and receipt of payment

2. Flights

  • All teams must attend to all briefings during the events
  • The 26th FIBAQ will have daily activities in the morning, afternoon and evening (night glow). On days when there are no free flights, pilots will be allowed to fly and the organization guarantees the issue of NOTAM. However, pilots will fly under their own responsibility.
  • Several activities are scheduled during the week of the event (Night Glow and Captive Flights), so that it is possible to maximize the event in its dissemination and proximity to the population, as such, teams may be asked to collaborate in these activities.
  • Pilots will be required to use the radio frequency mentioned in the event book
  • Whenever requested, the teams will have to send the geographic coordinates in degrees, minutes and seconds according to WFS84 as well as the landing time, otherwise the team may be disqualified.
  • Due to legal obligations, flying over national monuments considered World Heritage by UNESCO is prohibited.
  • Pilots are obliged to follow the NOTAM provided in the briefings, otherwise the team may be disqualified.

3. Event Director

The Event Director will be Aníbal Soares

  • The coordination of each activity will be ensured by a member of the organization
  • The contact of the means of Relief or organization of the event will be informed in the event book and, if necessary, must be made via mobile phone

4. Identification

  • All participants will have an identification badge/purse
  • Pilots will have a uniform (t-shirt/polo) for the event with the FIBAQ identification and its sponsors
  • Ground crew will also have a similar uniform
  • The hot air balloons may contain identification numbers, screens or flags from the event sponsors
  • Vehicles may have event sponsors identification number or advertising on doors and/or windshields
  • All teams will be asked to use Ultramagic’s Flight Pack app so that we can track all the book flights during the event.

5. Passengers

  • Pilots or their teams must collect their passengers from the organization
  • All passengers will have an identification wristband with the color corresponding to the flight day and hour
  • Pilots must confirm the presence of this wristband with their passengers
  • All passengers are required to sign a Term of Responsibility after the safety briefing carried out by the organization, prior to all the flights
  • Passengers will only be invited by the event’s sponsors, media and passengers acquired by the Volunteer Firefighters of the participating locations in the event, to which FIBAQ is associated as a solidarity, so that they can raise funds for the purchase of necessary relief equipment for populations or firefighting

6. Others

  • All teams must have:
    (Mandatory by ANAC)
    • Radio and GPS
    • Mobile phone and country flag
    • Flytec
  • The Pilot and his team are responsible for refueling their own cars.
  • The GPL supply must be carried out at the place and times indicated in the event book. If there is any problem, it is mandatory to inform the organization of the event.
  • Pilots cannot sell flights during the event. In all cases in which this regulation is violated, the Organization will be sovereign in the decision of these cases.
  • The information may vary from that contained in this regulation and information provided by the organization during the event. In these cases, drivers and teams will be informed in the event’s briefings and WhatsApp group.
  • The organization will present the hot air balloon and pilot documents to ANAC
